Administrative Assistant - NGO in Nairobi



Position: Administrative Assistant, Evidence Action

Start Date: 15th December 2013

Location: Nairobi, with flexibility to travel within Nairobi County, and occasionally to other parts of Kenya.

About Innovations for Poverty Action: Innovations for Poverty Action (IPA) is a non-profit research organization that creates and evaluates approaches to solving development problems and disseminates information about what works and what does not to policymakers, practitioners, investors and donors around the world.

About Evidence Action: Evidence Action is assuming management and growth responsibility for two programs tested and incubated at Innovations for Poverty Action that are currently making a difference in the lives of millions of people in Africa and Asia: the Deworm the World Initiative (DTW) and Dispensers for Safe Water Initiative (DSW).

Evidence Action scales proven development interventions and crafts resilient business models for long run success.

Description of Work: The Administrative Assistant will assist the DSW & DTW projects Office Administrator with general administrative duties.

These include, but are not limited to
  • Handling reception duties such as receiving visitors and answering calls
  • Handling incoming and outgoing mail and parcels
  • Taking note of office supplies stock levels and making orders when necessary
  • Assisting the Office Administrator with travel logistics e.g. flight bookings, accommodation
  • Supporting the Office Administrator with preparation of payments to vendors
  • Assisting in facilitating events and workshop logistics

Work duration:

The successful applicant will initially be hired for 3 months on probation basis.

If he / she demonstrates consistent exceptional abilities and work performance he / she may be considered for a more long term placement, with the same project.

Qualifications:

Academic Qualifications and work experience:

It is preferred that the candidate has obtained at least a college diploma preferably in Business Administration or a related field.

The candidate should also have at least 1 year relevant job experience.

Professional / Technical Skills: 
  • Typing of at least 50 WPM,
  • knowledge of general office machinery and telephone system and
  • familiarity with Microsoft Office software, especially Word and Excel
  • Other Qualities and Attributes: 
  • Ability to work with minimum supervision,
  • very keen attention to detail,
  • ability to handle confidential information with discretion,
  • ability to work flexible hours (tentatively 10am to 7pm and periodically on weekends) and
  • excited to work in a high performance environment

Job Duties and Responsibilities

  • Ensure that a corporation’s internal controls, procedures and mechanisms conform to top management’s instructions, regulatory guidelines and industry practices.
  • Apply auditing skills and accounting acumen to perform tasks.
  • Develop the assigned audit plan including scope and objectives of the audit, and audit procedures
  • Carrying out the audit plan as briefed by the seniors
  • Writing notes on all matters outstanding on the accounts
  • Addressing all queries arising from the seniors regarding the audits
  • Any other responsibilities that may be assigned from time to time

Knowledge & Qualifications
  • Minimum CPA III
  • Degree/ Diploma in a Business/ Accounts Related Field is a distinct advantage 
  • 2years experience in accounts & audit field
  • Should have worked with small & midsized audit firms
  • Have experience in financial reporting/compliance
  • Suitable candidate should be of unquestionable integrity
  • They should also be dynamic and a team player
  • To be fully conversant with best practices and current legislation

Accounts Assistant Job - Kenya



 Jimbo Environmental Group Project Accounts Assistant

Jimbo Environmental Group with funding from the Community Environment Facility (CEF II) of the Community Development Trust Fund (CDTF), which is a trust of the European Union and the Government of Kenya, is implementing a Three-year project titled “Building capacity of local community and institutions on good environmental governance, sound management and wise-use of Marine and Coastal biodiversity resources for improved livelihood and poverty reduction in Jimbo – Majoreni Area”.

Key Functions

Ensure that the Project operations are supported by efficient and effective financial management systems and procedures and that all funds are properly utilised and accounted for and project assets well maintained and recorded.

Specific Duties and Responsibilities:
  • Preparation of cheque and cash payment vouchers, taking them for authority to pay and issuing out cheques.
  • Procurement of standard items and consumables for the project office
  • Handling all project daily cash transactions and keeping petty cash float.
  • Maintenance of stores ledger
  • Maintenance of capital (asset) items inventory
  • Responsible for the processing of payroll for the project
  • Preparation of financial reports
  • Handling the payments of statutory and other payroll deductions and filing annual returns to the relevant government bodies
  • Doing banking duties and collecting funds for project activities.
  • Assist in the handling all Insurance matters as relates to project assets
  • Support project manager in management of community project

Qualifications and Experience
  • CPA Part 1, with a minimum of 3 years relevant experience in fully computerized environment Or
  • CPA Part 2, with a minimum of 2 years relevant experience.
  • Computer software literate
  • Proven track record of working with community projects and possession of a valid riding License will be an added advantage

Key Tasks & Responsibilities
  • Keep update on all Tax Laws and all Tax changes
  • Submit VAT, PAYE, and Corporate Tax returns
  • Lodge and follow up customs duty and VAT refund claims
  • Ensure correct procedures and documentation are submitted for importation and exportation of products and equipment
  • Do all Tax reconciliation
  • Do deferred tax computations and reconciliation
  • Follow up on Income Tax returns and payments
  • Be able to update the Management on existing and on new Tax regulations
  • Ensure adherence to KRA Tax Regulations and requirements
  • Liaise with clearing agents and KRA on importation and exportation of products
  • Be able to manage external Audits for both KRA and financial statements Audits

Qualifications & Competences
  • A University Degree in Business, Accounting or Commerce
  • ACCA/CPA qualifications
  • At least 3- 5 years working experience in Tax environment
  • MUST have worked in an Audit Firm
  • Dealing with corporate taxes and custom taxes
  • Thorough knowledge of Taxation Laws and of Tax processing systems
  • In-depth knowledge of Customs and Excise Tax, VAT, Income Tax, Acts
  • Proactive forward thinking on analyzing Tax Laws and Tax changes and their effects on the organization
  • Ability to research concepts and Tax applications effectively
  • Ability to advise the organization on Tax effects of all initiatives and projects
  • Ability to handle Corporate Tax issues
  • Excellent attention to detail, accuracy and proper documentation
  • Good presentation skills
  • Confidentiality and high integrity
  • Ability to work with minimum Supervision
  • Excellent communication skills at all levels, both internally and externally
  • Good business acumen, proficiency in accounting, Interpersonal skills
